The meeting was brought to order at 12:00pm on Sunday 13th of July, 2008 by the facilitator.
The agenda was read aloud by Sam Bauers.
[edit] Report on creation of a bank account
It was reported that the Secretary and the Treasurer attending a meeting at the Randwick, NSW branch of St. George bank and opened an association bank account. The account has a checking facility, no debit card and no line of credit. All withdrawals require the two signatures, the current co-signatories are the Secretary, Sam Bauers and the Treasurer, Anthony Cole.
The committee resolved to table financial reports at least once a quarter as part of committee meetings. The committee resolved to make all non-sensitive transactions public to ensure transparency in it's accounting. It was noted that this was important to engender financial trust from it's members towards the association.
[edit] Setting of membership fees
It was resolved that membership fees be increased in line with the associations main activity of producing the Wordcamp Australia annual conference. The conference will be a member only event, with membership fees providing the required proceeds for the running of the event. Membership fees will increase as the annual conference draws nearer in steps. At the conclusion of the conference, membership fees will drop back to their original cost.

The joining (admission) fee will remain unchanged at AUD$1.00

The annual fee scale will be as follows:

The Association fees schedule will be updated to reflect these changes.
[edit] Adoption of a membership form
The committee resolved to use the EventBrite event management system as a means of providing an online registration form for members. At the same time members can manage their details with regards to attendance at the WordCamp Australia conference.
The form will be released when venue details for the annual conference have been settled.
Committee members were reminded that they must also pay membership dues.
[edit] Creation of a sub-committee to co-ordinate the WordCamp Australia 2008 conference
It was resolved that a sub-committee be formed to organise the WordCamp Australia 2008 annual conference. This sub-committee's terms would be limited the organisation of the conference.
At this stage the existing informal organisation team will take up the positions in this sub-committee. The sub-committee will be limited to 7 individuals.
Current sub-committee members are:

- Anthony Cole
- James Farmer
It was proposed that a new sub-committee be formed at the Annual General Meeting to facilitate the organisation of WordCamp Australia 2009.
